A solo accounting professional was closing monthly books for a three-location cannabis retail group, one of the messier reporting environments you can inherit: multiple stores, POS exports, close packs, and manual dashboards.
I built a private close agent that pulled directly from the point of sale and produced the close pack she had been building by hand. Will the numbers be right?
The agent operates under hard rules, not good intentions: every figure cites its source file and cell or gets flagged unverified, and a number without a source does not exist. Before you rely on it, it earns trust your way: it closes the month in parallel while your current process keeps running, and you compare line by line.
You set the pace. Keep pulling reports the manual way until you’re comfortable, review a full month side by side, then switch when the validation says you can. Monthly checks continue after handoff, and every close leaves an audit trail of what was pulled, from where, and when.
Is the data safe?
The agent’s infrastructure is firewalled from the public internet entirely: it is reachable only over a private, encrypted network. There is no public login page, because there is no public anything.
API keys are treated like the front-door keys they are: read-only, installed once, stored encrypted, never sent over email. Customer PII is stripped before anything is written to disk, only the aggregates the close needs are stored, and nothing is sent to your client without your explicit approval.
How much time should this save?
My current client reports 12 to 15 hours a month back. If we can’t design a credible path to 10+ hours back per month or a 5 to 10x return, we shouldn’t build it. That is the point of the discovery session.
Will it make up numbers?
No number is allowed through without a source citation or an unverified flag, and the parallel-run validation exists to prove it. In four rounds of testing, every disagreement traced back to a manual workbook error, not the agent.
Is my client’s data safe?
Read-only keys, stored encrypted on dedicated infrastructure, with customer PII stripped before anything is written to disk. In the build above, the agent handles less sensitive data than the manual exports did.
Is this only for cannabis accounting?
No. Cannabis was the stress test; month-end close pain exists across accounting practices. The offer is for anyone with repeatable monthly close work.
Do I need a big firm for this to make sense?
No. This is strongest for solo operators and small practices where the owner is still doing too much export, tie-out, and reporting work by hand.
Does this replace me?
